Thax Software is the specialist for applied uses of identification technologies and digital dictating techniques. The medium-sized Berlin-based company offers a solution based on Radio Frequency Identification (RFID) that can locate files in offices and help optimise workflows. And who wouldn’t want an office where no more files go missing, and with seamless connectivity between paper-based and digital files and documents, complete with dictation and a workflow system?
With “Findentity”, as the system is called, every file in offices or workplaces can be located using RFID. Files are given a transponder – a battery free RFID label – which can be recognised by special reading devices. But the system doesn’t only show the current location of a file in an office: when a reference file has been identified its electronic counterpart is automatically displayed on the monitor so that every work stage is allocated its own reference file.
For instance, if you are dictating in the PC the whole dictation is connected to the file which opens when the reference file is held in front of a reader in the office. Scanned-in documents, letters written in Word, reminders, and time sheets can all be automatically stored in the right file. The system creates a unique kind of interface between paper-based and digital files.
Originally planned as a file-search system, “Findentity” has evolved into a complete Office Management System with a wide range of modular built functions that users can custom-configure to their own needs. The system can be individually configured for different industry branches and is equally at home with the administration of files, customers, clients, patients, books or goods. It can be deployed both with and without identification technology and its easy intuitive user interface is the result of joint development with legal and commercial offices. Thax Software has received numerous awards for their solution – lately at the “Innovation Award 2006” of the Medium Business Sector Initiative.
The company, that is member of the METRO Group Future Store Initiative, launched radio frequency technology for offices in 1999. By now it has become standard office equipment for many users not only in German-speaking countries. Moglich ist damit nicht nur die Anzeige des aktuellen Lageortes auf einem Raumplan, durch die Identifikation der Handakte am Arbeitsplatz wird automatisch auch das elektronische Pendant am Bildschirm aufgerufen und so jeder Arbeitsvorgang einer bestimmten Akte zugeordnet.
Wird beispielsweise in den Computer diktiert, ist das Diktat von Anbeginn mit der Akte verknupft und wird geoffnet, sobald die Handakte an das Lesegerat eines Arbeitsplatzes gehalten wird. Auch eingescannte Dokumente, in Word geschriebene Briefe, notierte Wiedervorlagen und erfasste Arbeitszeiten werden automatisch in der richtigen Akte gespeichert. Das System schafft damit eine einzigartige Schnittstelle zwischen der Papier- und der digitalen Akte.
„Findentity“, das ursprunglich nur als Aktensuchsystem konzipiert war, ist heute ein komplettes Buromanagementsystem mit vielen weiteren Funktionen, das sich der Anwender dank des modularen Aufbaus nach seinen Bedurfnissen zusammenstellen kann. Das System lasst sich so individuell einrichten, dass es in allen Branchen zum Beispiel zur Verwaltung von Akten, Kunden, Mandanten, Patienten, Buchern oder Waren eingesetzt werden kann. Es kann mit und ohne Identifikationstechnologie genutzt werden. Die einfache und intuitive Bedienbarkeit folgt aus der Entwicklung in Zusammenarbeit mit Kanzleien und Buros. Thax Software ist fur sein Konzept mehrfach ausgezeichnet worden, zuletzt beim Innovationspreis 2006 der Initiative Mittelstand.
